Who must report?
Federal law requires all employers to report certain information on newly hired employees to a designated state agency.
A newly hired employee is defined as:
- Someone not previously employed by the employer; or
- A person being rehired who was previously employed by the employer but has separated from the employer for at least 60 consecutive days.
In Nevada, new hire information must be reported to the Employment Security Division of the Department of Employment, Training and Rehabilitation.
New hire information is used by the Child Support Enforcement Program of the Nevada Division of Welfare and Supportive Services and the National Directory of New Hires to locate parents who are not paying legally required child support.
Note:
Any employer who Hires – or Rehires after at least 60 consecutive days of separation from employment – employees for whom a W-4 Form is required by the Internal Revenue Service (IRS).
When must New Hire information be reported?
Required information must be reported within 20 days of hire (or rehire after at least 60 consecutive days of separation from employment).

What New Hire information must be reported?
For each person Hired (or Rehired after at least 60 consecutive days of separation from employment), employers must report:
- Employee's Full Name
- Employee's Social Security Number
- Employee's Address (City, State and Zip Code)
- Employer's Federal Employer Identification Number
- Employer's Name
- Employer's Address (City, State and Zip Code)
- Employee's Start Date

As part of an ongoing effort to assist employers in protecting themselves from possible fraud, Nevada's New Hire Program uses a cross match procedure with Unemployment Insurance to detect possible fraudulent practices.
To assist in this cross match we ask that employers also provide the following optional items:
- Employee's Date of Birth
- Employee's State of Hire
How must New Hire information be reported?
The method of reporting is at the discretion of the employer; a specific form is not required.
- Secure File Transfer Protocol (FTP) is preferred.
- Copies of W-4 Forms may be mailed, or faxed, to the Employment Security Division.
- Download New Hire Reporting Form for Fax, or Mail-in.
- Written information in any format is acceptable, as long as it contains the seven data elements listed above.
- Information may be Faxed to (775) 684-6379.
Multistate Employers
Employers with employees working in more than one state may report them to the state in which they are working, or the employer may report all employees to one state. Employers who choose to report to one state must notify the Secretary of Health and Human Services of the state choosen.
